How to import asset in fogwing CMMS using data import feature

Efficient asset management is essential for any organization, and Fogwing CMMS provides a convenient way to handle asset imports through its Data Import feature. With this feature, you can quickly upload a batch of assets by using a CSV template provided by Fogwing. This eliminates the need for manual entry of individual asset details, helping you save time and reduce errors.

In this article, we’ll guide you through the steps required to import assets into Fogwing CMMS using the import feature and the CSV template.

Step 1: Download the CSV Template

To start, you’ll need to download the CSV template from the Data Import section in the Fogwing CMMS module section. This template is designed to help you organize your asset information and ensure that all necessary fields are populated in the correct format.

The CSV template includes all the required and optional fields for asset import. It's crucial to use this template for a smooth import process, as it ensures the correct structure and formatting for the asset data.

Step 2: Fill in the Asset Data Files for importing

Once you’ve downloaded the template, it’s time to fill in the asset details. Below is a breakdown of each field in the CSV file and what you need to include.

1. Asset Code

  • Description: The unique identifier for each asset.

  • Requirements: The asset code must be unique and should not contain special characters except for hyphens (-) and underscores (_). Ensure there are no spaces or punctuation marks.

2. Asset Name

  • Description: The name of the asset.

  • Requirements: The asset name should be unique to avoid confusion. The name should be between 3 and 40 characters in length. Ensure that the name is descriptive to clearly identify the asset.

3. Plant Identifier

  • Description: The identifier for the plant to which the asset belongs.

  • Requirements: The plant identifier must be unique and cannot contain special characters except hyphens (-) and underscores (_). The asset can only be imported once the corresponding plant is created in the Fogwing system. The plant identifier in the import file should match the one created in the system.

4. Category Name

  • Description: The asset category you wish to assign to the asset.

  • Requirements: You can enter a custom category name that best describes the asset’s classification, such as "Electrical Equipment" or "HVAC." This is an optional field.

5. Is Child

  • Description: Specifies if the asset is a child asset.

  • Requirements: If the asset is a child, write "YES," otherwise write "NO." If you enter "YES," you must also provide a Parent Asset Code.

6. Parent Asset Code

  • Description: If the asset is a child asset, this field denotes the parent asset code.

  • Requirements: If you declare an asset as a child, you must specify the asset code of the parent asset in this field.

7. Is Movable

  • Description: Indicates whether the asset is movable or not.

  • Requirements: Write "YES" if the asset is movable, or "NO" if the asset is stationary.

8. Brand Name

  • Description: The brand or manufacturer of the asset.

  • Requirements: Provide the name of the brand or manufacturer (e.g., "Siemens," "Caterpillar").

9. Model Number

  • Description: The model number assigned by the manufacturer.

  • Requirements: Enter the model number, which may include alphanumeric characters or other unique identifiers.

10. Serial Number

  • Description: The unique serial number of the asset.

  • Requirements: The serial number must be unique. It helps in tracking and maintenance of the asset, so ensure it’s entered correctly.

11. Purchase Cost

  • Description: The cost at which the asset was purchased.

  • Requirements: Enter the purchase cost as a numerical value (e.g., "2000" or "50000"). Do not include currency symbols.

12. Year Manufactured

  • Description: The year the asset was manufactured.

  • Requirements: Enter the year of manufacture (e.g., "2014," "2020"). The year value should not be less than 1800 or greater than the current year.

13. Lifetime in Years

  • Description: The expected lifetime of the asset, measured in years.

  • Requirements: Enter the asset’s expected lifetime in years as a numerical value (e.g., "10" years).

14. Total Available Hours

  • Description: The total number of hours the asset is available for use in a day.

  • Requirements: Enter the number of hours the asset can be used each day (e.g., "8" hours).

15. Latitude (Lati)

  • Description: The latitude of the asset’s location.

  • Requirements: Enter the latitude value as a decimal (e.g., "40.7128").

16. Longitude (Long)

  • Description: The longitude of the asset’s location.

  • Requirements: Enter the longitude value as a decimal (e.g., "-74.0060").

17. Residual Value

  • Description: The estimated residual or salvage value of the asset.

  • Requirements: Enter the residual value of the asset (e.g., "500") once its useful life is over.

Step 3: Save the File and Prepare for Import

Once you’ve filled out the CSV template with all the necessary information, save the file in CSV format (.csv). Make sure that the Asset Name and Plant Identifier fields are filled out, as they are mandatory for the import to proceed. The other fields are optional but highly recommended for accurate asset tracking.

Step 4: Contact Fogwing Support for Import

After saving the CSV file, you need to submit the file to Fogwing support for import into the CMMS system. You can do this by reaching out to Fogwing support via email at [email protected]. support team will help you to import the asset list as a part of on boarding.
