Work Orders are the manufacturing orders given by Customers or Internal Team to produce and deliver to customers. It is essential to create Work Orders for each manufacturing order to progress in production activities against delivery timelines.

Pre-condition – Plant, Work Center, Assets, Parts, and Customers shall be created in SFactrix prior to creating a Work Order. You should be an Account Admin, Plant Admin, Asset Admin, or a Work Center Admin to create a Work Order.

How to create your Manufacturing Work Orders?

  • Login to your SFactrix.ai account by going to https://app.sfactrix.ai.

  • From the settings page, under Actions, click on the ‘Work Orders’ card.

  • Click the ‘Add Work Order’ button on the Work Order page.

  • The 'Add Work Order' form will appear. Fill the form with proper data as shown below.

  • Click the 'Submit' button. You will have successfully created the Work Order.

Please note the details of each parameter required to complete the Work Order creation.

Description

Work Order Name

Name the Work Order based on the type of orders received.

Work Order Code

Enter a unique code for the Work Order for identification purpose.

Description

Brief the type of operation of the Work Order

Choose a Customer

Choose a customer from the drop-down menu to whom this Work Order is created.

BOM Code

You can either choose the auto-generated BOM code or create one BOM against the work order by clicking on the 'Create New BOM' in the drop-down list.

Work Order Quantity

Enter the quantity in units to be produced. Work Order Quantity should be less than or equal to the 'Monthly capacity of production' while creating the Plant.

UoM

Enter the UoM (Unit of Measure) for the work order quantity specified.

Part/Item Code

Choose the Part Code from the drop-down menu for which the Work Order is created.

Priority

Set the priority for the Work Order to be completed, whether the Work Order should be completed on High, Medium, or Low priority depending on the customer's requirements.

Time Estimated

Mention the estimated time (in minutes) required to complete the given Work Order.

Start Date

Set the date from the calendar icon to start the Work Order. Set the date accurately as this date will be important for creating the Jobs.

End Date

Set the date from the calendar icon to end the Work Order. Set the date accurately as this date will be important for creating the Jobs.

Batch Number

Enter the batch number of the parts/products set to the Work Order.

Lot Number

Enter the lot number of the parts/products assigned to this Work Order.

Sales Order Number

Enter the sales order number booked for the products to this Work Order.

How to edit/update the Work Order?

You should be an Account admin, Plant Manager, Work Center Manager, or Asset Manager belonging to the same Plant to edit the Work Order.

Steps to edit/update Work Order in SFactrix:

  • Use your credentials and Login to your SFactrix.ai account.

  • From the settings page, under Actions, click on the ‘Work Orders’ card.

  • 'Work Orders' display page will appear.

  • Click the ‘Edit’ icon on the Work Order you wish to edit/update.

  • Make the necessary edits/update to Work Order specifics.

  • Click on the ‘Update’ button to save the changes.

How to assign a Work Order to a particular plant?

The work order can be created without any association with factory by the user. However, to make the jobs created, work order should be assigned to a factory.

the following steps are required for assigning work order to a particular plant.

  • Go to the Work Order Page, and click on the three dots under the Action column.

  • Next, Click on 'Assign WO', and the Work Order page will appear.

  • Uncheck 'No Assignee', Choose the particular Plant from the drop-down list to which you wish to assign the work order.

  • Click on the 'Update' button. You will have successfully assigned the work order.

How to delete a Work Order?

You should be an Account admin, Plant Manager, Work Center Manager or Asset Manager belonging to the same Plant to delete the Work Order. You need to delete the Jobs linked to the Work Order before deleting the Work Order.

Steps to delete Work Order in SFactrix:

  • Login to your SFactrix.ai account.

  • Click on ‘Work Orders’ card from the settings page, under Actions.

  • 'Part/Item' display screen will appear.

  • Click on the ‘Edit’ icon on the Work Order you wish to delete.

  • Click the ‘Delete’ button on the 'Edit Work Order' page to delete the selected Work Order.

  • Click on the ‘Yes’ button when you receive a pop-up stating, ‘Are you sure to delete (Work Order Name)’?. This deletes the Work Order chosen.

Understanding the summary of work order:

The four 'Status' cards are displayed on the top of the Work Order page. These cards will display the summary of Work orders based on their status. The status of the Work Order is dependent on the status of the Jobs associated with it. This work order status depends on the extent of work carried out in completing the orders assigned.

  • Following is the description of each Work Order status.

Yet to start

When you create the Work Order and Jobs linked to the Work Order has not started.

In Progress

When the Jobs linked to the Work Order has started the production.

Completed

When the production for the assigned quantity is completed by the Job linked to the Work Order.

Pending

When the date set for the Work order is expired and the quantity assigned for production is not complete.

Following are the different status levels description against each Work Order.

Why am I unable to delete the Work Order?

  1. You can delete the Work Order only when the Jobs linked to the Work Order are completed/deleted.

  2. If a job is ongoing or yet to start, Work Order engaged in that specific job cannot be deleted.

  3. You can delete the Work Order only if are an Account admin, Plant Manager, Work Center Manager, or Asset Manager belonging to the same Plant to delete the Work Order.
