Learn to create and manage the maintenance Work Order in Asset+ CMMS

Fogwing CMMS, a Smart CMMS and asset management platform, enables maintenance managers to create and assign asset maintenance orders as work orders. The managers have the authority to create work orders, assign work orders to maintenance engineers and managers, create checklists, and provide estimated start and end dates for the maintenance process. A manager also has the power to convert maintenance requests into Work Orders. Fogwing CMMS helps managers and engineers track asset maintenance work in factories and facilities. Creating an asset maintenance work order and assigning a maintenance engineer to check asset health can help factories and facilities reduce unanticipated asset downtime and breakdowns.

1. How to create a Maintenance Work Order with Asset+ CMMS?

A Work Order in Fogwing CMMS is the task or job assigned to the engineers or managers to complete the asset maintenance process. It can be created against a maintenance request raised or independently by a manager. Maintenance managers can include a checklist for asset maintenance requirements in the work order.

You can also go to the Work Order page by clicking the setting icon and selecting the Work Order card by clicking the Action card on the settings page.

  • Click on the Create Work Order Button.

  • The 'Create Work Order' form will appear.

  • Please enter the required data in the respective field and press the Submit button.

Note: The name of the work order and work order code are the only mandatory fields when creating a work order in the Asset+ platform.

Please note the details of each parameter required to create a Work Order in Asset+.

Field

Description

Work Order Name

Name the maintenance Work Order you wish to create work.

Work Order Code

Generate a unique code for the Work Order Created

Description

Provide a brief description of the Work Order.

Asset

Mention the name of the asset which needs a maintenance work order.

Priority

Mention the work order's priority, such as high, medium, and low, according to its execution requirement.

Planned Start Date

Mention the date to start working on the work order created.

Target Date

Mention the target date when you need to complete the asset maintenance process.

Work Order Type

Mention the asset maintenance type of the Work Order, whether it is an On-Demand, Fault, or Preventive maintenance.

Checklist Template

Select the checklist template from the dropdown according to the asset maintenance requirement.

Choose Engineer

Assign the engineers to execute the Work Order

Estimated Work Hours

Provide the estimated Work hours required to complete the Work Order created for the asset maintenance.

2. How do you Edit Maintenance Work Orders in Fogwing CMMS?

A user must be a manager or supervisor on the Fogwing CMMS platform to view or edit the Asset maintenance Work order. To check how to create a manager user account in Fogwing CMMS, click on the link: https://help.fogwing.io/en/articles/6983575-get-started-with-fogwing-asset-cmms

Once you have the asset+ platform's manager user credentials

You can also go to the Work Order page by clicking the setting icon and selecting the Work Order card by clicking the Action card on the setting page.

  • You will be directed to the Work Order page, which includes a detailed view of the Work Orders created.

  • Click on the three dots under the Action field against the Work Order you want to view/edit.

  • Click the View/ Edit option to view or edit the work order.

  • Please view/ edit the required data in the respective field and Press Update to update a Work Order.

How to upload files while creating the maintenance Work Order

The asset image file can be updated on the Fogwing CMMS platform while creating or updating the maintenance work orders. It helps the maintenance technicians to recognize the asset and the issues associated with the asset. Now, let's learn how to update the essential asset image while updating the maintenance work order.

Info: Maximum file size allowed is 5MB. Files exceeding 5MB will be compressed after upload. Only JPG, JPEG, PNG, and HEIC formats are allowed.

Steps to upload a file while creating an asset maintenance work order on Fogwing CMMS:

  • Once on the "Edit Work Order" form, click on the "Files" tab

  • Click on the "Add" icon and update the required image. (Please remember the following: "You can upload up to 5 images to an asset maintenance work order.")

  • Click on the "Update" button to update the image files.

3. How do I delete the Maintenance Work Order in the Fogwing CMMS?

An asset maintenance work order can be deleted only if its status is open. A manager login is essential to delete a work order on the Fogwing CMMS platform.

Once you have the asset+ platform's manager user credentials

  • Click on the Work Order icon present on the menu bar.

You can also go to the Work Order page by clicking the setting icon and selecting the Work Order card by clicking the Action card on the settings page.

  • Check the status of the work order you want to delete.

  • If it's in an Open state, click the three dots under the Action field against the maintenance work order you wish to delete.

  • Click on the delete option.

  • You will receive a pop-up: " Are you sure to delete Workorder_name?"

  • Click on "yes" to delete the work order.

Note: You can only delete a work order if its status is shown as open.
